Booking Form - Terms & Conditions

Booking Confirmation
Please carefully read the following conditions to which your booking is subject as it is your agreement with Sports Masters International Ltd. Your booking is accepted by Sports Masters International Ltd and becomes definite only from the date that payment has been received in full
following an acceptance in writing issued by us with an invoice. It is your responsibility to check the invoice carefully and advise us immediatley in the event of any error.

Payment
Bookings will be deemed to be confirmed only once payment has been received in full. Payment is due within 15 days of an invoIce date.

Once payment has been received and the booking confi rmed, we will dispatch booking confirmation within 5 business days.

Time is of the essence in relation to payment dates and if you fail to comply with a payment date, Sports Masters International Ltd will be entitled to:

(a) charge interest on any amounts overdue at the rate of 2% per annum over the base rate of the
Bank of England on a daily basis from the payment date until actual payment; or

(b) cancel this agreement.

The rights of Sports Masters International Ltd under this clause are cumulative and not alternative and any waiver by Sports Masters International Ltd of any of its rights will be without prejudice to any other rights under this agreement.

Cancellation Policy

(a) Cancellation by You
If you wish to cancel your event booking, we must receive notification in writing (letter, fax or e-mail)* and cancellation will be effective on the working day on which we receive written notice of cancellation (‘Cancellation Date’). Any notice of cancellation received out of hours (9am-5pm) will be deemed made on the next working day. We will retain £150 (plus VAT) to cover administrative expenses and a cancellation fee based on a percentage of the total amount payable will be charged according to the number of clear days (not counting the Cancellation Date and the day of the event) between the Cancellation Date and the date of the event as follows:

The balance will be returned to you via the same method used for payment, unless we are notified otherwise in writing.

(b) Cancellation by Us
We will not normally cancel any event within 8 weeks of the event date except in circumstances beyond our control as specifi ed below:
(i) Cancellation due to reasons amounting to force majeure which includes (but is not limited to) war, threat of war, riot, civil disobedience or strife, industrial dispute, terrorist activity, natural or
nuclear disaster, fire or adverse weather conditions, technical or maintenance problems with transport and changes of schedule or operational decisions of any transport carrier. Nor can we be held responsible for the cancellation of a sporting event.

(ii) You failing to pay your invoice in full by the due date for payment as per our payment policy above.

Alterations made to the Scheduled Programme or Event
We continually review our programme to ensure we are providing high quality and relevant events. Consequently, the programme content, as described in the event brochure or website, may change from time to time. We therefore reserve the right to change or cancel any part of the published programme.

Any changes will be discussed in full with you in advance of the event taking place.

Where activities are scheduled to take place outdoors, in the event of bad weather, we will endeavour to make appropriate, alternative arrangements. As a result, the schedule may change from that published.

In the unlikely event we are forced to change or cancel the published event date completely, the company’s liability will be limited to a transfer to the next appropriate date or a refund in full of the fee paid at the date of cancellation. We regret that we are unable to make a refund for non-attendance on the day. Equally, we will not be liable for any loss, damage or expense caused by the cancellation of the event resulting from government action, strike, civil commotion, national disaster or other force majeure event as described above.

Should a named player or host be unable to attend one of the events, we will make every effort to make a suitable replacement. However, we are not responsible for their non-attendance. Where possible, we will notify you of any such changes in advance.

Fees
The event booking fee covers the services referred to above. Travel costs (unless stated) are not included in the event booking fee.

All prices are correct at the time of printing but we reserve the right to change the price of an event without notice. You will be notifi ed of any price change when booking.

Liability
Sports Masters International Ltd neither owns, manages or controls the accommodation that it uses and it is possible that Sports Masters International Ltd may be advised that our reserved accommodation is not available when you arrive at your destination. In this unlikely event, Sports Masters International Ltd will endeavour to secure accommodation of at least the same standard as that booked. If only accommodation of a lesser standard is available, Sports Masters International Ltd will refund the difference between the prices of the accommodation booked and that received and will pay £25.00 per person for inconvenience caused.

We do not accept liability for the personal injury, or the death of any participant however caused. We do not accept liability for loss or damage to any property belonging to, or travelling with, a participant.

Sports Masters International Ltd will not be liable, whether in contract, tort (including negligence) or otherwise for any indirect, consequential or economic losses or loss of profi ts howsoever arising.

In no event will Sports Masters International Ltd’s liability for any loss or damage in contract or tort (including negligence) or howsoever otherwise arising, exceed the total amount paid by you for the event.

Sports Masters International Ltd will not be liable for any breach of the terms and conditions or delay or failure in providing services as a result of causes beyond its reasonable control including (but not limited to) any event of force majeure as described above or the inability to obtain any necessary information or consent from any authority.

Your Responsibility
It is your responsibility to ensure that, where necessary, passports, visas, vaccination certifi cates and other necessary documents are in order.

It is your responsibility to arrange adequate insurance cover for travel and cancellation at the time of booking.

Sports Masters International Ltd will not be responsible for booking fl ights or other air or sea carriage to any event. It is therefore your responsibility to arrange such travel arrangments to ensure that you and your team arrive at the event venue in time for the itinerary set out for each event. When you travel with an air or sea carrier the conditions of carriage of that carrier will apply, some of which may exclude liability. Air travel is also subject to operational decisions of air carriers and airports which may result in delays or result in aircraft being diverted. Sports Masters International Ltd has no control over such decisions or delays.

It is your responsibility to advise Sports Masters International Ltd of any medical condition of any member of your team which may affect your or their ability to enjoy or pursue fully the arrangements booked. Sports Masters International Ltd will not be held liable for any claims from loss of enjoyment, curtailment etc, where we are not made aware of any such condition at the time of booking. While every effort will be made to ensure that special requests are fulfilled, they cannot be guaranteed and will not form a condition of booking.

Venues and Suppliers
We are not liable for any omissions or actions of persons not employed by Sports Masters International Ltd. Equally, whilst we are careful to choose our suppliers,we cannot guarantee their safety standards.

Provision of Equipment
Golf equipment will not be provided unless specifically requested. Participants will therefore be required to bring their own equipment which is brought at their own risk.

Disability
We welcome the participation of disabled participants at our events. We recognise that certain activities may present difficulties to those with disabilities and so please notify us of any relevant disability at the time of booking, so that we can do our best to meet the participant’s particular needs. On request, we would be delighted to provide information about disabled facilities at the chosen venue.

Complaints
At Sports Masters International, we are committed to making your event a complete success. If you have any problems or complaints, please bring it to our attention immediately, so that we can work to resolve the matter as soon as possible.

Data Protection
Information provided to us at the time of booking is held in a database and is used to communicate details of future events to you. We do not make the information contained in the database available to any other organisation outside Sports Masters International Ltd.
